Call for artists for the 2nd Pernera Street Music Festival

The Municipality of Paralimniu - Dherynia extends an open invitation to artists / artistic groups to participate in the 2nd Pernera Street Music Festival to be held on 15 June 2025 in the tourist area of Pernera, Protaras. Interested parties are invited to send their proposals and the required form found below according to the terms and conditions no later than Monday 2 June 2025 at 12 noon via email to [email protected]

  1. Professional musicians, music groups based in Cyprus are eligible to submit proposals. The right to submit proposals is also open to natural or legal persons legally operating in Cyprus.
  2. Maximum estimated cost including artists' fees, sound and lighting and any other requirements: four thousand euros (€4,000) excluding VAT.
  3. Proposals submitted should be duly completed, with all the documents and information requested. In addition to the application form (see at the end of this notice), each proposal must necessarily be accompanied by the following:
    1. Names of the singers/musicians who will take part in the musical programme and/or the musical group.
    2. Number of persons and instruments.
    3. A brief note on the artistic background of the singers and/or the group to be proposed.
    4. A cover note, presenting the identity/profile and the activities of the artist or music group submitting the proposal. In the case of a proposal submitted by a house, the note should provide sufficient biographical information about the owner and the director of the house.
    5. In the case of a proposal submitted by a company, evidence must be provided that the company is legally represented by, or has entered into a commitment or agreement with, the group(s) or the theatre company(s) proposed.
    6. Audiovisual or photographic material, produced at a recent concert/music programme of the singer and/or band proposed or a reference to a specific Internet address.
    7. High-resolution photo of contributors for the purpose of creating promotional materials.
    8. Provide details of the sound and lighting equipment to be installed.
    9. Provide requirements for electrification.
    10. Give a description of the theme of the music programme.
  4. The selected applicants will be invited to sign an agreement document related to the scope of the Call.
  5. Deviations/differences will not be accepted unless there is a serious excuse (illness/accident, war, force majeure, etc.). Deviation or variation without serious excuse will affect the final amount of the agreed fee.
  6. The musical program to be presented must be exactly two (2) hours in duration , i.e. one hundred and twenty (120) minutes without an intermission.
  7. The interested parties are obliged to provide full sound and lighting coverage for their act but at a volume to be determined by the Municipality and which may not be exceeded.
  8. It is stressed that, should other additional costs arise after the approval of any proposal, of which the Municipality was not informed in advance, the Municipality will not be obliged to pay them. Any such costs will be the sole responsibility of the sponsor and if the sponsor refuses to pay them, then the Municipality reserves the right to deduct the amount in question from the agreed amount for the event.
  9. Any revision by the interested party of the amounts stated in the final proposal after its receipt by the Municipality will not be accepted.
  10. The Municipality reserves the right to give priority to the most economically advantageous proposals. At the same time, the Municipality of Paralimni - Deryneia is not obliged to choose the most economically advantageous proposal.
  11. All proposals will be evaluated within the available budget of the Municipality.
  12. The City, in evaluating proposals, reserves the right to negotiate a change in the amounts stated.
  13. In the event that the Municipality or another Public Service requests it, the successful entity will be obliged to prepare at its own financial expense and deliver to the Municipality a Safety and Health System for the public and staff for employees.
  14. In the event the City determines that a certificate of approval for the electrical installation must be obtained from the Department of Electrical Engineering Services, the contractor shall be required to obtain one.
  15. The contractor is responsible for the smooth running of the event and the departure of the members of the musical group.
  16. All those involved in the events (artists, musicians, technicians, etc.) will be obliged to comply with all the provisions of the Occupational Safety and Health Laws of 1996 to 2011, both during the presentation and during the testing and preparation of the venue.
  17. The Contractor will be solely responsible for any accident or damage to any person present in the event area during the time of use of the premises, unless the accident is covered by the insurance policy of the Municipality (Public Liability).
  18. In the event that foreign artists participate in the event, then the producer will be responsible for paying any tax to the Tax Inspectorate Department (Relevant legislation: Articles 23 and 24 of the Income Tax Law no. It is noted that Article 28 of the Law on the Certification and Collection of Taxes No. 4/78, as amended, provides that the Tax Inspector may request a municipal official to provide information required for the purposes of this Law.
  19. The Municipality reserves the right to cancel the event or events in case of weather conditions that will not allow them to take place after informing the contractor before the installation of the equipment. In this case, the City will not be obliged to pay any fees or compensation.
  20. Proposals must be written and submitted in Greek.
  21. Interested parties may submit one or more proposals.
  22. Only proposals submitted on this form and in the manner and with the deadlines indicated above will be considered.
  23. The place of the presentation of the project is the square and the sidewalks of Pernera Avenue and the adjacent streets in places to be indicated by the Municipality.
  24. No rigging, lighting or any other equipment will be provided by the Municipality.
  25. The promotional material will be prepared by the Municipality.
  26. All terms and conditions set out in the preceding paragraphs are essential and proposals which do not meet them will be rejected. The same applies to proposals submitted after the deadline.

  28. This form must be sent by e-mail by Monday 2 June 2025 at 12:00 noon to [email protected] and the title of the message must include the phrase: "Expression of Interest for Organising and Performing a Musical Programme at the 2nd Pernera Street Music Festival 2025".
